eGMA improves small group enrollment experience; DocuSign updated to accommodate multiple documents

As we head into the open enrollment season, we wanted to remind you about all the great tools and solutions that improve your overall experience, save time and ensure your clients have member ID cards prior to their effective date.

Start early with eGMA

The eGMA streamlines small group (1-50; 2-50 in Idaho) sales and renewals by reducing the back-and-forth communication often required for gathering and clarifying information. The eGMA also expedites the process by significantly reducing errors. When it comes to new sales, satisfaction with eGMA has increased since implementation, and more than 90% of our members have received their member ID cards before their effective dates.

Because enrollment volume is highest during Q4, we encourage you to use the eGMA to submit your new groups and renewals as early as possible. Applications through eGMA are processed automatically upon receipt, while paper applications may result in delayed implementation.

With the eGMA, you can access rates, quote additional benefits, shop for alternative plans and renew your groups. You’re also able to track your renewals as they’re processed and stay updated on their status. Your groups can also access these same features though our Employer Center portal.

If you have questions during the eGMA process, please use our new Click to Chat feature, which allows you to ask questions in real time as you complete the eGMA for both new and renewing groups.

DocuSign updated for time savings and convenience

Thanks to feedback from producers, we’ve updated DocuSign so you can bundle multiple documents into one envelope rather than having to send documents separately.

We’ve also implemented an optional pass-through step that lets you effortlessly send documents to employers for signature. This expedites the signature process and group onboarding while keeping you informed about your groups’ paperwork status.

Since the pass-through step is optional, you can choose to be included in the process or have the documents sent directly to the group for signature. After the group electronically signs, the documents automatically appear as separate items on the group opportunity. You’ll receive a copy for your records. As a reminder, DocuSign is set up to prevent producers from signing on the group’s behalf.

Please familiarize yourself with the following steps needed to pass documents through to your groups:

  1. Please open and review links to all documents received via email upon receipt. Groups do not receive the documents to review or sign until you have approved them.
  2. Select Review Document, then Continue.
  3. Review the attached documents using Start and Next, or scroll to move through the attached documents.
  4. Select Approve or Decline.
    • If you approve, an email will be sent to the group administrator to sign the documents.
    • If you decline, select Continue and provide a reason for declining.
      • Select Decline to sign. This voids the documents. Any documents requiring signature will need to be sent again.
  5. After the group electronically signs the approved documents, they are automatically submitted to Regence. You will receive a copy for your records.
